Data Protection and Privacy Policy

1. About this Policy
1.1 This policy explains when and why we collect personal information about our members, inspectors, examiners and customers, how we use it and how we keep it secure and your rights in relation to it.
1.2 We may collect, use and store your personal data, as described in this Data Privacy Policy and as described when we collect data from you.
1.3 We reserve the right to amend this Data Privacy Policy from time to time without prior notice. You are advised to check our website www.largemodelassociation.com regularly for any amendments (but amendments will not be made retrospectively).
1.4 We will always comply with the UK General Data Protection Regulation (GDPR) (Data Protection Legislation) when dealing with your personal data. Further details on the UK GDPR can be found at the website for the Information Commissioner (www.ico.gov.uk). For the purposes of the UK GDPR, we will be the “controller” of all personal data we hold about you.

4. How we protect your personal data
4.1 We will not transfer your personal data outside the UK without your consent.
4.2 We have implemented generally accepted standards of technology and operational security in order to protect personal data from loss, misuse, or unauthorised alteration or destruction.
4.3 Please note however that where you are transmitting information to us over the internet this can never be guaranteed to be 100% secure. We use up-to-date industry procedures to protect your personal information. We also protect the security of your data using Secure Sockets Layer (SSL) encryption technology.
4.4 For any payments which we take from you online we will use a recognised online secure payment system.
4.5 We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.
5. Who else has access to the information you provide us?
5.1 We will never sell your personal data. We will not share your personal data with any third parties without your prior consent (which you are free to withhold) except where required to do so by law or as set out in the table above or paragraph 5.2 below.
5.2 LMA Members
We may pass your personal data to third parties who are service providers, agents and subcontractors to us for the purposes of completing tasks and providing services to you on our behalf (e.g. to print Journals and send you newsletters or membership documentation). However, we disclose only the personal data that is necessary for the third party to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own purposes.
If specifically requested by you we will pass your personal data (full name, address, date of birth and email address) to the Civil Aviation Authority (CAA) Drone and Model Aircraft Registration Service in order to register you for an operator ID. We will record the request you make, your agreement to the CAA Privacy Notice, CAA Terms and Conditions and your Operator ID.
If you register a model aircraft in the over 25kg scheme, at the appropriate time we will pass your personal data (full name, address, operator ID and email address) to the Civil Aviation Authority (CAA) in order to enable your application for an over 25kg specific category operational authorisation.
If you do not comply with the conditions and limitations of the LMA Operational Authorisation issued by the CAA, we may pass your personal details (full name, address, operator ID and email address) to the CAA along with the details of the non-compliance in accordance with Implementing Regulation (EU)2019/974.
We may be required to supply data held by the LMA to the CAA which may include your personal data as part of documentation required by the CAA for monitoring and oversight purposes in accordance with Implementing Regulation (EU)2019/974.
5.3 LMA Customers
We will not pass your personal data onto anyone else.
6. How long do we keep your information?
6.1 LMA Members
We will hold your personal data on our systems for as long as you are a member of the Association and for as long afterwards as is necessary to comply with our legal obligations, but for no longer than seven years. We will review your personal data every year to establish whether we are still entitled to process it. If we decide that we are not entitled to do so, we will stop processing your personal data except that we will retain your personal data in an archived form in order to be able to comply with future legal obligations e.g. compliance with tax requirements and exemptions, and the establishment exercise or defence of legal claims.
6.2 LMA Customers
We will hold your personal data on our systems for no more than one year and we will stop processing your personal data except that we will retain your personal data in an archived form in order to be able to comply with future legal obligations e.g. compliance with tax requirements and exemptions, and the establishment exercise or defence of legal claims.
6.3 We securely destroy all financial information once we have used it and no longer need it.
7. What are cookies? The types of cookies we use and how you can disable them.
In this section you will find information on what cookies may be set when you visit the LMA website and how to manage and disable them.
7.1 What are cookies?
A cookie is a piece of text that a website transfers to your computer’s hard disk in order to remember who you are. Cookies interact with your computer and our website faster and easier by remembering the registration details and preferences from previous visits. Typically, a cookie will contain the name of the website from which the cookie has come, the lifetime of the cookie and a value. The use of cookies does not give us access to the rest of your computer and only the site that created the cookie can read it.
7.2 Automatically collected access information

7.3 We use the following types of cookies
Session cookies – these are temporary cookies that remain in the internet browser’s folder of your computer until you close the browser. Our website uses a session cookie which is stored in your browser until you close it to ensure connections to our servers are distributed evenly to provide optimal performance.
Persistent/Permanent cookies – these remain in the internet browser’s folder of your computer for longer than the time you are visiting this website. We need to use a cookie to remember your refusal of our use of cookies. This cookie does not store any other information and is not used for any other purposes. If you delete your browsing history including cookies you will delete this cookie and will therefore need to readjust your browser setting again.
Analytical cookies – Our website uses Google Analytics cookies (third party cookie) for the following purposes: a cookie to record the time of your first visit to website, the time of your most recent visit to the website and the time of your current visit; a cookie to record how long you stayed on the website; a cookie to record how you located our website (i.e. Google search, keyword, link from other page etc).
Third party cookies – We sometimes allow partners or service providers to use cookies on our websites. These cookies are used to help us understand how a specific promotion or campaign is performing. The information obtained from these cookies is only used by the LMA and its partners. We only share the information obtained through the use of Google Analytics with Google. The cookies we use for these purposes do not track your Internet usage after leaving our website and we do not store your personal information. They will also not be used in connection with any other information to identify you in any way. To prevent Google Analytics cookies being set, you may wish to install the Google Analytics Opt-Out Browser Add-On (http://tools.google.com/dlpage/gaoptout).
7.4 Can I opt out of cookies?
The LMA will not use cookies to collect personally identifiable information about you. Yes you can restrict or block the cookies which are set by our websites, and you can do so by accessing your Internet browser settings. The ’Help’ function within your browser should tell you how.

8. Your rights
8.1 You have rights under the GDPR:
a. to access your personal data
You have the right to confirmation as to whether or not we process your personal data and, where we do, access to the personal data, together with certain additional information. That additional information includes details of the purposes of the processing, the categories of personal data concerned and the recipients of the personal data. Providing the rights and freedoms of others are not affected, we will supply to you a copy of your personal data. The first copy will be provided free of charge, but additional copies may be subject to a reasonable fee. You can access your personal data by visiting the members area when logged into our website.
b. to be provided with information about how your personal data is processed
c. to have your personal data corrected
You have the right to have any inaccurate personal data about you rectified and, taking into account the purposes of the processing, to have any incomplete personal data about you completed.
d .to have your personal data erased in certain circumstances
In some circumstances you have the right to the erasure of your personal data without undue delay. Those circumstances include: the personal data being no longer necessary in relation to the purposes for which the data was collected or otherwise processed, you are no longer a LMA member and wish the data not to be held for our standard 7 year period.
Please note a request for data erasure for a current member would require that member to forfeit membership. The data is required for the LMA to fulfil its obligations.
e. to object to or restrict how your personal data is processed
You have the right to object to our processing of your personal data for direct electronic communications purposes. If you make such an objection, we will cease to process your personal data for this purpose. Please note that an objection from a current member would prevent access to the members area of the website.
In some circumstances you have the right to restrict the processing of your personal data. Those circumstances are: you contest the accuracy of the personal data; processing is unlawful but you oppose erasure; we no longer need the personal data for the purposes of our processing, but you require personal data for the establishment, exercise or defence of legal claims; and you have objected to processing, pending the verification of that objection. Where processing has been restricted on this basis, we may continue to store your personal data. However, we will only otherwise process it: with your consent; for the establishment, exercise or defence of legal claims; for the protection of the rights of another natural or legal person; or for reasons of important public interest.
f. to have your personal data transferred to yourself or to another business in certain circumstances.
8.2 Finding out what information the LMA holds about you Under the Data Protection Legislation. You can ask to see any personal information that we hold about you. Such requests are called subject access requests. If you would like to make a subject access request, please contact the LMA’s Data Protection Officer:
